Adding new users and assigning role/group access in the Esper Console

Learn how to add new users to your Esper Console account and assign them the appropriate roles and device group access.
Before you begin
You must have an Enterprise Admin role to add users and manage their access. If you don't have this role, contact your organization's Esper administrator.
How to add a new user
- Log in to the Esper Console at
console.esper.iowith your Enterprise Admin account. - In the left sidebar, click User Management.
- Click Add User in the top-right corner.
- Enter the new user's email address, first name, and last name.
- Select the appropriate Role:
- Viewer: Read-only access to assigned device groups
- Operator: Can manage devices within assigned groups
- Group Admin: Can manage devices and users within assigned groups
- Enterprise Admin: Full access to all console features and groups
- Under Group Access, select all device groups the user should have access to. If the user needs access to all groups, select each group individually.
- Click Save or Create User.
- The new user will receive an email invitation to set their password and activate their account.
How to add multiple users
Repeat the steps above for each user you want to add. The Esper Console requires you to create each user individually — there is no bulk import tool available.
How to verify user access
- Return to User Management.
- Confirm that each new user appears in the list with the correct role and group assignments.
- Ask each user to log in and confirm they can see the expected Devices & Groups.
Troubleshooting
The Add User button is greyed out or missing
Your account doesn't have sufficient permissions. Contact your organization's Esper Enterprise Admin to add users on your behalf.
The user didn't receive an invitation email
- Check the user's spam or junk folder.
- Verify the email address was entered correctly in the user creation form.
- If the issue persists, delete the user entry in User Management and create it again.
Group assignments are not saving
Confirm that the groups exist in Devices & Groups → Device Details and are not restricted by an access policy. If you continue to encounter issues, contact Esper Support.
Important notes
- Only Enterprise Admins can create new users and assign group-level access.
- In multi-group enterprise accounts, you must assign group access individually — there is no "all groups" shortcut.
- This workflow applies to human user accounts only. To create service accounts or API keys, see Developer Options → API Keys.
