User locked out of Esper Console: re-send invite from admin panel to restore access

Improved title: User locked out of Esper Console — resend or fix a broken inviteWhen a team member loses access to the Esper Console or never receives their invitation email, they are unable to log in until an admin resends or reissues the invite from the Console.
Why this happens
Esper Console invitations expire after a set period and are single-use. If a user did not accept the invite in time, the link was caught by an email spam filter, or the invite was sent to the wrong address, the user will have no valid way to log in and a new invite must be sent by an admin.
Before you begin
You must be logged in with an Admin or Enterprise Admin role to send or resend invites. If no admin account is accessible on your tenant, contact Esper Support before proceeding.
Steps
- Log in to the Esper Console at https://your-tenant.esper.cloud using an admin account.
- Navigate to Company Settings → Users and locate the affected user in the list. If their status shows Pending, an invite was already sent but not yet accepted. If they are not listed at all, proceed to step 3.
- To resend an existing invite: Select the pending user, then click Resend Invite. This invalidates the previous link and issues a fresh one, which prevents confusion if the user has multiple invite emails in their inbox.
- To create a new invite: Click + Add User, enter the user's email address exactly as they will use it to log in, and assign the appropriate role (Viewer, Developer, Enterprise Admin, etc.). Click Send Invite.
- Instruct the user to check their inbox and spam or junk folder for an email from @esper.io and click the link inside to complete account setup. The link must be opened in a browser where they are not already signed in to a different Esper account.
- If the user is on a tenant with SSO (SAML) enforced: Navigate to Company Settings → Security to confirm whether SSO is enabled. If it is, manual invite links will not work for login — direct the user to authenticate through your organization's identity provider instead.
Verify
Verify: After the user accepts the invite, confirm they can log in to https://your-tenant.esper.cloud and that their role and device visibility in Devices & Groups match what is expected. Access is granted immediately upon acceptance — no additional activation step is required.Additional notes
- Invites sent to an incorrect address cannot be recalled. If you sent an invite to the wrong email, send a new invite to the correct address — the wrong-address invite will simply expire unused.
- If a user previously existed on the tenant and was deleted, a resent invite creates a brand-new account. Prior device assignments and Activity Feed entries associated with that user are not restored.
- After granting access, verify the user's role grants the correct Console permissions for their responsibilities, especially for tenants using Zero-Touch or KME provisioning workflows.
If this doesn't resolve it
If the user clicks the invite link and sees an error, the invite is not arriving despite being resent, or no admin account is available to issue invites, contact Esper Support. When submitting your request, include the following:
- The affected user's email address
- The date and time the invite was most recently sent
- Any error message shown when the user clicks the invite link
- Whether your tenant uses SSO, and if so, your identity provider name
