Duplicate user permissions: create user and assign matching role in User Management

Title: Duplicate user permissions — manually assign matching role and groupsWhen a new team member needs the same access as an existing user, the Esper Console does not provide a clone or copy-permissions option, so each permission must be assigned manually.
Why this happens
Esper's role-based access control (RBAC) is intentionally explicit — every user's role and group scope must be assigned individually. There is no automatic way to mirror one account's permissions to another.
Before you begin
You must hold an Admin or Group Admin role to add users and assign roles. If you do not have this access, ask your organization's Admin to perform these steps.
Before starting, open the source account in User Management and note:
- The assigned role (e.g., Group Admin, Viewer)
- Every group listed under that account
Steps
- Navigate to User Management in the left-hand navigation panel of the Esper Console.
- Click Add User (or Invite User, depending on your console version) to open the new user form.
- Enter the new user's email address and complete all required fields.
- Under Role, select the exact same role as the source account. For example, if the source account is assigned Group Admin, select Group Admin here.
- Under Groups, assign every group that the source account can access. Select each group individually — missing even one group will result in a narrower scope than the source account.
- Click Save or send the invitation.
Troubleshooting
Add User is greyed out or not visible
Your account does not have sufficient privileges. Ask your organization's Admin to add the user on your behalf.
The new user did not receive an invitation email
- Ask the user to check their spam or junk folder.
- Verify the email address is spelled correctly in User Management.
- Resend the invitation from User Management → [User Name] → Resend Invite.
The required role is not available in the Role dropdown
Your subscription plan may not include all RBAC role options. Contact Esper Support to confirm which roles are available on your current plan.
Group assignments are not saving correctly
Take a screenshot of the group assignment screen and note which groups are missing after saving.
If this doesn't resolve it
Contact Esper Support with the following information:
- Your organization's endpoint name (e.g.,
yourcompany.esper.cloud) - The email address of the source account and the new user account
- A screenshot showing the group assignment screen if groups are not saving
